Policies & Procedures

As a requirement of admission and continued enrollment, parents annually agree to abide by and support all the policies and procedures of Heritage Christian School.

It is a general requirement that children admitted to Heritage Christian School must have at least one Christian parent or a Christian guardian who has made a personal profession of faith in Christ.  The Board may admit students at its discretion based upon extenuating circumstances.

Admission to HCS requires the student to have maintained at least a "C" average (2.0 grade point average on a 4.0 system) during the most recent academic year and grading period.  Only under exceptional circumstances will a student whose grade average is below a "C" be considered for admission.  This student will be admitted on a probationary basis for one grading period during which the student must attain a "C" average or be subject to dismissal.

Admission to Kindergarten requires that the student be 5 years of age before September 1 of that academic year (for K-3, 3 years of age by September 1 and K-4, 4 years of age by September 1).  A child may qualify for early entrance if he/she turns 5 before November 1, is a resident of Harrison County and qualifies through testing with Harrison County Schools.  All applicants must have a state certified copy of their birth certificate.  This copy must be attached to the application.

All applicants  must show documented proof of required immunization and proof of insurance before acceptance can be granted.  A copy of the immunization record and proof of insurance must be attached to the application.

It is not the intent of HCS to admit students who have recently experienced behavioral or emotional problems in school.

The application for admission must be completed and returned to the school along with a photocopy of the student's permanent record.  It is the responsibility of the parents to see that the transcript (photocopy) is forwarded to the school.  Copies of any diagnostic and psychological testing that has been done are to be included along with any pertinent medical information.  All of the above items must be accounted for before an admissions interview can take place.

A $65.00/family application fee is payable with the Application for Admission for new admissions and a $45.00/family fee for re-enrollments.  These fees are non-refundable unless the student is not accepted.  Enrollment and re-enrollment fees receive a $10.00 discount if submitted before May 1.

Each new applicant will be interviewed along with both parents except in an unusual circumstance when only one parent or guardian can be present.

To insure proper entry, the applicant (student) may be required to take a placement test to determine his/her academic ability and appropriate grade level.

Tuition payments to HCS are made in one of two ways:

(1) Full payment of tuition by August 1.  This payment is made directly to the school.

(2) Twelve automatic monthly payments made through the FACTS Tuition Management Payment Plan.  Payments begin in August with automatic withdrawal from either a savings, checking or credit card account on the 5th or 20th of each month.  The cost of the FACTS Tuition Management Plan is $38.00 per year per family.

Students who enroll after August 1st will either have their full tuition billed over eleven months, (rather than 12) or will make a cash payment directly to the school in August for the first month only with subsequent payments through F.A.C.T.S.  Preschool students are normally billed over 9 months beginning in September.

The FACTS Peace of Mind tuition protection program is an added optional benefit offered to all families for a nonrefundable, annual fee of $10 per agreement.  In the event of death, the plan covers the person paying tuition and the spouse of that person, the benefit is paid directly to the school to cover the unpaid balance (except payments in arrears),  the coverage takes effect as soon as the FACTS payment agreement is processed and a confirmation letter has been sent to the family.

In order for students to continue attending HCS, all school accounts (tuition, books & fees, hot lunch, after school care, etc.)  must be kept current.  In those rare instances when there are extenuating circumstances that could warrant special arrangements for deferred payment, parents should immediately contact the school administration.  All accounts must be paid in full before students may be accepted for re-enrollment

Transfers

The administrator should be notified as soon as possible when a student plans to transfer to another school.  Pertinent records will be sent to the new school upon request from that school.  Note: Records from Heritage Christian School will be forwarded when the affected account(s) is (are) paid in full.

Withdrawals

In order to withdraw from school, the administrator must be notified.  If a student leaves at any time during the semester, the family must pay tuition for the entire semester unless a move is made out of town, or extenuating circumstances (not expulsion) exist.  In such cases the tuition will be prorated by the month.

Tuition Assistance Program Eligibility Policy

The HCS Tuition Assistance Program is designed to aid families of HCS students who are financially unable to render the full tuition due for their children.  Students enrolled in grades PreK-3 through 8th grades are eligible to participate in the Tuition Assistance Program.

Families must make application through a financial disclosure with Private School Aid Service. Although not required, all HCS families have an opportunity to complete a six week course (through HCS) on family finances. Nominal fees are applicable for both services.  Forms are available from HCS.

Tuition assistance is awarded as funding allows for up to 40% of the total cost of tuition, excluding books and fees.  HCS does not discriminate on the basis of race, color, sex, or national and ethnic origin in administration of its educational and admissions policies or athletic, scholarship and other school-administered programs.
